Definitions

"Northeastern University London" refers to Northeastern University London, Devon House, 58 St Katharine’s Way, London E1W 1LP, UK.

"Parents" means the person(s) who have signed this agreement as the parent(s) or legal guardian(s) of the Student.

"Academic Year" means the period during which the Student is enrolled in our guardianship programme.

"Alternative Accommodation" means accommodation not arranged by Bright World or the University, but independently sourced by the Parents, Student, or a third party.

"Notice" means official written communication to terminate the selected guardianship service, subject to the terms below.

1. Scope of Services

1.1 Guardianship Responsibility
Bright World Guardianships ("Bright World") agrees to assume specified responsibilities for students under 18 ("Student") enrolled at Northeastern University London ("the University") on behalf of their Parents or Legal Guardians. Bright World acts as the Student’s educational guardian during designated term times. Guardianship services do not extend to the Christmas and Summer holidays, during which Students are expected to return home or be under the care of their Parents.

1.2 Liaison Role
Bright World will liaise with the University and the Parents in matters related to Student welfare. Where appropriate, Bright World may exercise discretion on behalf of the Parents in providing consent for university-related activities.

1.3 Communication with Parents and Student
Bright World will maintain regular contact with both Parents and Student, and offers 24/7 emergency availability. Bright World reserves the right to use professional judgment in assessing whether a request is reasonable.

1.4 Accommodation Arrangements
Bright World will assist in arranging emergency or temporary host family accommodation, subject to availability and additional cost.

1.5 Emergency Support
Bright World provides 24/7 emergency telephone and email support. While every effort will be made to send a representative during emergencies, in-person attendance cannot be guaranteed in all circumstances. Remote support will always be available.

1.6 Travel and Escorts
Bright World can organise emergency travel and escort the Student to emergency appointments, subject to additional fees.

1.7 Emergency Arrangements
Bright World will arrange emergency homestay and/or emergency attendance for circumstances such as serious illness, transport failure, accommodation issues, or university suspension.

1.8 Service Limitations
If Bright World suspends its services for any reason, it ceases to act as educational guardian for the duration of the suspension.

1.9 Alternative Arrangements
Bright World cannot accept responsibility for Students staying in hotels, B&Bs, or rented accommodation without a responsible adult present. During such periods, the Student is considered under Parental Care.

1.10 Infectious Disease Contingencies
In the event of a contagious outbreak, Bright World will make every effort to find host family accommodation if needed. However, this cannot be guaranteed. Costs associated with care and return travel will be the responsibility of the Parents.

2. Responsibilities of the Student

2.1 Compliance
The Student must adhere to all university rules, regulations, and Bright World expectations.

2.2 Communication
The Student must maintain regular communication with Bright World and notify them of independent travel plans, changes in accommodation, or emergencies.

3. Responsibilities of the Parents

3.1 Contractual Relationship
This agreement is between Bright World and the Parents, who retain legal responsibility for the Student.

3.2 Medical and Welfare Consent
Parents authorise Bright World to act in emergencies and make welfare-related decisions.

3.3 Information Sharing
Parents must provide up-to-date contact information, medical history, and relevant personal details.

3.4 Legal Responsibility
Parents confirm they are the legal guardians of the Student and that no third-party consent is required.

3.5 Authority and Consent
Parents authorize Bright World to act as educational guardian for the agreed duration. They agree to cover costs incurred during emergencies.

3.6 Confidentiality
Bright World may share confidential information on a need-to-know basis to protect the Student's welfare.

3.7 Disclosures
Parents must disclose any medical, behavioural, or learning difficulties and keep Bright World informed of changes.

3.8 Behaviour
Parents confirm the Student will behave respectfully and responsibly toward all parties involved.

3.9 Visa
Parents are responsible for arranging the Student's UK visa.

3.10 Insurance
Bright World does not provide insurance. Parents should arrange suitable coverage.

4. Services and Fees

4.1 Guardianship Package Includes:

  • Guardianship Care Manager
  • Bright World Buddy (Local Coordinator)
  • 24/7 emergency support
  • Induction week visit
  • Emergency arrangements (additional fees apply)

4.2 Additional Services not included in fees (as needed):

  • Host family: £60/day + travel
  • Welfare visits: £30 + travel
  • Isolation for contagious illness : £240 service fee + £70/day host family stay
  • Escorting to appointments : £30/hour + travel
  • Transport: At cost + applicable fees
  • Out of Hours attendance/Emergency Chaperone service £45/hour plus travel expenses

5. Parent Declarations and Contact

5.1 Payment
Parents agree to cover additional fees and comply with notice periods (see Section 7).

5.2 Communication
Parents and Students must be reachable in English and maintain up-to-date contact details.

5.3 Data Consent
Parents authorise Bright World to store and share data as needed for service delivery. Full details are in the Data Protection Policy.

6. Fees

6.1 Definition of Fees
Fees include any costs incurred through emergency services or damage caused by the Student.

6.2 Invoicing
Programme fees are managed by the University; additional services will be invoiced separately.

7. Termination and Notice

7.1 Notice Requirement
At least one full term's written notice is required to terminate this agreement.

7.2 Termination for Misconduct
Bright World may terminate this agreement due to exclusion from the University or repeated serious misconduct.

7.3 Behaviour Expectations
Students must treat all staff and host families with respect. Zero tolerance applies to violence, discrimination, and harassment.

8. Legal Liability

Bright World is not liable for loss or damage unless caused by negligence. Failure to provide accurate information may limit Bright World's responsibility.

9. Data Protection

Bright World will use and store personal data per its Data Protection Policy accessible on our website here. Parents agree to the collection and sharing of relevant information.

10. Promotional Material

Photographs may be used for promotional purposes unless Parents object in writing.

11. Third Party Rights

This agreement is between Bright World and the Parents only.

12. Governing Law

This agreement is governed by English law. Parents agree to the jurisdiction of English courts.

13. Variation

Bright World may update these Terms and Conditions to comply with laws or service requirements. Any changes do not release Parents from their obligations.
